Job Description

Role Purpose:
To assist with the day to day operations within the office to meet the agreed customer service standards and to administer internal processes to ensure the satisfactory implementation of quality assurance systems.

Reports to:
 Quality & Excellence Executive

Key Responsibilities:

  • Centre approval visits
    • Administer centre approval process and monitor verification visits
    • Ensure appropriate monitoring of verifiers and centre performance
  • Organise workshops
    • Administer verifier/assessor training days and standardisation work-shops to ensure regular, effective support to verifiers and centres
  • Operations
    • Maintain, improve and support the internal administrative procedures,
    • Operate and maintain the relevant database(s) to ensure centre information is accurate and up-to-date
  • Customer Service
    • Prioritise and respond to a broad range of queries from diverse group of customers
    • Taking responsibility to action and ensure follow up is carried out to customers' expectations and in line with expectations
  • Administrative support
    • Co-ordinate the daily administrator duties of reception services in order to ensure the smooth running and professional image of the floor
    • Plan, organise and prioritise a varied workload, taking responsibility for and ensuring a high level of customer service is provided at all times in order to support the team

Required Skills or Experience

  • Tertiary Qualification in Administration from a recognised institution
  • Minimum of two years' employment experience - national service does not count towards this record
  • Proficient skills in a broad range of software packages including MS Word, MS Outlook, MS Excel and databases e.g. mail merging and general corresponding
  • Minimum keyboard skills of 45 wpm
  • Excellent communication and organisational skills with a customer sensitive approach (written/verbal) and ability to take own initiative
  • Proven skills in an administration role
